JOB TITLE: Executive Assistant
JOB LOCATION: Orem
JOB TYPE: In Office
FUNCTION: The Executive Assistant provides high-level administrative support to the President and other executives, in addition to ensuring efficient operation of the Orem office and managing company-wide initiatives.
REPORTING TO: President
KEY ACTIVITIES:
Visualize, fulfill, and implement the company vision and core values
Manage and maintain executives' calendars, including scheduling appointments, meetings, and travel arrangements
Prepare and edit reports, communications, presentations, and other documents
Coordinate internal and external meetings, including preparing agendas, taking minutes, and following up on action items
Handle confidential information with discretion and professionalism
Screen and direct incoming calls and emails; respond to routine inquiries
Organize and maintain files and records, both electronic and physical
Track expenses and prepare reports and reimbursements
Support executive team members with various administrative tasks as needed
Coordinate logistics for off-site meetings, events, and conferences
Liaise with internal departments and external stakeholders
Perform general clerical duties (invoicing, copying, mailing, notetaking, etc.)
Manage general office functions
Perform other duties as may be required
KNOWLEDGE AND SKILLS:
Dependable and punctual, able to work with minimal supervision
Excellent communication skills in addition to interpersonal and relationship skills
Highly organized and detail oriented, able to multitask and prioritize tasks under pressure
Strong proficiency with Microsoft Office products preferred
EDUCATION/EXPERIENCE:
High School Diploma or GED
Bachelor’s degree preferred
2-3 years of relevant experience
PHYSICAL REQUIREMENTS:
Sedentary work, requiring regular lifting up to 10lbs and occasional lifting up to 35 lbs.
Repetitive motion associated with operating a computer and other office equipment
Inside, climate-controlled working conditions, seated at a desk for extended periods of time
